Hours: Monday–Friday, 9:00 AM–5:00 PM PST

Compensation: $60,000 CAD annually – potential for commission at 1 year review

We are expanding our sales and ad operations department and are looking for an organized, proactive, tech-savvy coordinator to help us deliver exceptional campaigns for our brand partners.

Position Overview

The Podcast Sales & Ad Operations Coordinator supports both the Sales team and the Ad Operations team function across Podcast Nation’s slate of shows. This role plays a key part in campaign planning, execution, reporting, and client support.

The ideal candidate is detail-oriented, communicative, and thrives in a fast-paced, creator-driven environment. They are comfortable with analytics tools, highly organized, and motivated to build their career in the podcast industry.

Key Responsibilities

Ad Operations

  • Coordinate, schedule, and execute ad campaigns across audio and video podcasts.
  • Traffic ad copy, talking points, creative assets, and campaign materials to internal teams and creators.
  • Facilitate brand vetting with shows, including maintaining internal logs and spreadsheets and directly communicate with hosts.
  • Work with producers and hosts to ensure timely delivery of ad reads and integrations.
  • Monitor live campaigns, confirm delivery, and identify pacing or performance issues.
  • Prepare mid-campaign updates and final performance reports for clients and the Sales team.
  • Maintain internal systems, spreadsheets, and campaign documentation to ensure accuracy and visibility.

Sales Support

  • Support the Sales team in developing proposals, pitch decks, and sponsorship packages.
  • Assist with client research, competitive analysis, and prospecting.
  • Conduct outbound brand pitching on behalf of our shows.
  • Update CRM tools and sales pipelines with accurate, timely information.
  • Coordinate with internal teams (production, creators, finance) on sponsorship requirements and opportunities.
  • Participate in brainstorming sessions to identify new revenue opportunities and strategic partnerships.

Qualifications Required

  • Minimum 1 year of experience in the podcast industry (ad ops, production, sales, or related role).
  • Minimum 3 years of experience in a general business, administrative, marketing, or sales environment.
  • Strong professional communication skills — verbal and written.
  • Highly organized, reliable, and detail oriented.
  • Comfortable working with data, tracking tools, and analytics dashboards.
  • Proficient with Google Workspace (Docs, Sheets, Slides) and general office software.
  • Ability to work independently and manage multiple tasks and deadlines.
  • Self-starter with strong problem-solving skills; resourceful and adaptable.

Preferred

  • Experience with podcast ad trafficking software, sales CRMs, or analytics platforms.
  • Understanding of digital advertising metrics (CPM, impressions, conversions, pacing, etc.).
  • Prior experience coordinating marketing or media campaigns.
  • Passion for podcasts and the creator economy.
