Mission Media is seeking a highly organized, proactive, and resourceful Executive Assistant to support our CEO and leadership team on a part-time basis. This role is ideal for someone who thrives in a fast-paced, entrepreneurial environment and enjoys serving as a trusted partner to executive leadership. Additionally, you will be an important project manager for key initiatives across the organization, helping organize research and information for leadership to make critical decisions. As Executive Assistant to the CEO, you will help drive organizational efficiency by managing the CEO’s schedule, coordinating meetings and travel, supporting special projects, preparing materials and presentations, and ensuring priorities stay organized and on track. You will play a critical role in helping the CEO maximize productivity and maintain focus on the company’s continued growth across podcasting, streaming audio, CTV, digital media, and emerging platforms.

You will
- Manage the CEO’s calendar, including scheduling meetings, prioritizing commitments, and coordinating logistics.
- Coordinate internal and external meetings, including agendas, materials, notes, and follow-up action items.
- Manage travel arrangements, itineraries, and expense reporting.
- Manage corporate gifting and help organize customer service initiatives.
- Assist with preparing presentations, proposals, correspondence, and other executive communications.
- Support project management for key initiatives and help track deliverables and deadlines.
- Serve as a liaison between the CEO and internal teams, partners, clients, and external stakeholders.
- Help organize company documents, files, and operational processes to improve efficiency.
- Conduct research and gather information to support business decisions and strategic initiatives.
- Assist with planning for conferences, industry events, speaking engagements, and executive appearances.
- Handle sensitive information with discretion and maintain strict confidentiality.
- Identify opportunities to improve workflows, streamline processes, and enhance organizational effectiveness.
- Provide administrative and operational support as needed to help the CEO and leadership team execute company priorities.
You have
- 3+ years of experience supporting senior executives, founders, or C-suite leaders as an Executive Assistant, Chief of Staff, Operations Coordinator, or similar role.
- Exceptional organizational and time management skills with strong attention to detail.
- Outstanding written and verbal communication skills.
- The ability to manage multiple priorities and adapt quickly in a fast-moving environment.
- Experience coordinating calendars, travel, meetings, presentations, and executive communications.
- Strong proficiency with Google Workspace, Microsoft Office, Zoom, and project management tools.
- A high level of professionalism, discretion, and confidentiality.
- The ability to work independently, anticipate needs, and proactively solve problems.
- Experience in media, advertising, podcasting, technology, or startup environments is preferred.
- An entrepreneurial mindset, positive attitude, and willingness to jump in wherever needed.
